Submitting a proposal
- Open a material or AI activity report you can currently read.
- Expand Edit metadata within the metadata section (Edit classification and related items for materials).
- Search and select grants, projects and researchers, then enter tags. For materials you can propose a category or AI reference flag; for reports you can also propose a title and memo.
- Optionally explain why, then press Propose changes. Managers see Save in the same editor. Existing values remain until approval. Source content and the original report generation conditions are unchanged.
- Check the proposal page for its status or withdraw your pending proposal. My proposals on the same material lets you return to previous submissions.
Reviewing as a manager
1. Open Profile → Settings → Change requests. Track sent and reviewable requests together. Connection creators, direct uploaders and existing managers may approve or reject currently readable materials. Researcher tags do not confer approval rights.
2. Filter by status and search the material title, proposer or reason. Only proposals you may manage are shown.
3. Check proposals and choose Approve selected, or Approve all search results. Each proposal is checked for current permissions/conflicts and skipped counts are shown. Open a proposal to reject it individually.
Compare Before and Proposed and enter a review note.
4. Approve and apply, or reject. The reviewer, time, note and before/after values are retained.
5. Approval stops if metadata or participation permissions changed. Review the current material and request a new proposal. Adding a report audience also requires management rights over the added grants/projects.
Submission and decision notifications follow existing system-notification preferences. Managers can still edit metadata directly.
When a report is visible but its evidence is not
Report sharing and source access are separate. A grant member who has not joined a child project may read its shared report without access to source materials collected by that project. Request project membership or contact its manager. Disabled or changed source connections can also hide evidence. Editing metadata or assigning a researcher does not grant source access.
Deletion requests and your trash
- Open a material, report, grant, project or conversation and select Move to trash or Request deletion. You can directly trash items you created or currently manage. Assigning yourself in researcher metadata does not make you the creator.
- Without deletion permission, optionally explain the reason, check the confirmation and submit. The item remains until approval.
- Open Profile → Settings → Change requests to track status and review notes or withdraw a pending request. Submission and decision alerts follow platform notification preferences.
- Managers open Profile → Settings → Change requests and select Deletion request as the type. Review the target and reason, then approve or reject. Bulk approval includes deletion requests: verify the type and targets. Changed permissions or item state block approval.
- Open Profile → Settings → Trash. Search or filter by type. Restore individually, selected items or all search results. Restore parent grants, projects and channels first. Restored external connections require authentication and collection settings to be checked separately.
- For permanent deletion, review all affected items and enter your password. Deletion is blocked if it would affect another person’s private AI conversation or data outside your authority. Contact a platform administrator in that case. Deleted collected items stay suppressed during collection for the same connection version; reconfiguring a connection may create a new collection scope.
- Restoring a conversation preserves its history and earlier individual deletions. This feature does not erase Google, GitHub or Notion originals or external backups. Only the authenticated calendar owner may explicitly delete a Google original from the separate event deletion page. Platform administrators delete the platform copy only.
Actual dates and AI review
- Save Actual material date and Date evidence in material metadata. Provider timestamps remain separate; clearing the date restores the existing basis.
- AI metadata review proposes dates, categories and tags from available collected evidence. It does not invent facts from unread content or apply proposals before approval.
- See Material AI analysis for execution, pause/resume and budgets. Both metadata and content analysis for a fixed initial cohort use a separate allowance; this exemption does not extend to every new material.
- Completed analysis, pending proposals and approved changes are different states. Compare old and proposed values in Change requests before approving or rejecting.
Automatically populated fields and verification
- Inspect the collected document's grant/project scope and attributed authors, assignees and researchers.
- Calendar attendees may link to an unambiguous connected account in the lab. An attendee listing does not prove actual attendance.
- Correct missing or incorrect links through editing or a proposal. Automatic researcher association does not prove sole authorship or responsibility.
- Review manual and automatic values before saving. Authorized approvers review proposals and can open the document from the request alert.
Choose review request notifications
- Open Change request notification settings from the review inbox. Expand the initially collapsed Announcements, requests and operations group in notification preferences.
- Platform delivery is selected and Digest is clear by default for Metadata/change requests and review results. Metadata and deletion requests you can review appear in your inbox without waiting for a digest.
- To opt out, clear Platform and save. Email requires both the overall email switch and this category. Device push also requires its overall switch and browser permission.
- To batch incoming requests, select Digest on that row and choose an interval, then save. Incoming requests and review results follow the same digest selection. Administrator-disabled categories remain blocked.
