1. Read and write bilingual announcements
- Announcements and Overview show only editions published in the current interface language. Switching Korean/English opens the corresponding edition of the same announcement. An unpublished language is not replaced with the other language.
- Platform administrators: Announcements → Write. Enter both titles and bodies using Korean/English tabs or Compare side by side. Save both drafts together; published content stays unchanged.
- Preview each language's tables, images and links, then select Korean reviewed and English reviewed. Publish both languages makes one announcement available in both language lists.
- For urgent notices, expand Publish one language first or unpublish and choose Korean only or English only. Review and publish the other edition later.
- Changing one language clears review of the other. Save the draft first, then compare and review both again. Save before refreshing or leaving the editor.
- Administrators use Published notices, Drafts and Trash. Drafts show each edition’s writing and review state. Existing URLs and access rules remain valid. Check that broad-audience notices do not copy restricted research sources.
Attach files, images, mentions and document citations
- Open Announcements → Write, or Edit and publish on an existing announcement. Set the title, font and size, then use the toolbar directly above the body.
- Choose Attach file for supported PDF, DOCX, HWP/HWPX, TXT/MD, CSV, PPTX, XLSX, ZIP, image, audio or video files. Limit: 20MB per file and 20 files per announcement. Executable and HTML files are rejected. Add files one at a time.
- If you manage multiple labs, first choose Attachment storage lab. Its Google Drive archive account and folder must be configured. Wait for confirmation and the download link in the body. Retry or cancel a failed upload. Saving and publishing wait until attachment completion.
- Choose Image to display a PNG, JPEG or WebP up to 1.5MB in the text. Images are resized and re-encoded for display. Use Attach file to distribute the original file.
- Choose @ Mention or type @ followed by part of a username or name and select a result. Choose Cite a document or type [[ and part of a title to select an accessible document. Arrow keys and Enter/Tab also work. Limit: 12 citations.
- Preview images, tables, citations and attachment links. Saving a draft sends no alerts; publishing follows announcement notification preferences. Only announcement readers can download attachments. Remove the link from both published editions and publish again to revoke reader access. Saving a draft alone keeps the live attachment; this does not delete its Drive original.
- Attachments are for sharing files; they are not automatically analyzed or executed.
Check unread announcements
- Open the profile menu. The number beside Announcements counts published notices you have not opened. It disappears when all notices are read.
- Open a notice from the list to mark it as read. Viewing a list or notification, or downloading an attachment alone, does not mark the notice as read.
- Counts refresh when opening the menu, returning to the tab and approximately every 15 seconds while the page is visible. Drafts and unpublished notices are excluded. Editing a previously read notice does not make it unread again.
- Existing view records are used; visits before read tracking was introduced cannot be inferred.
Administrators: check announcement readers
- As a platform administrator, open an announcement and choose Read activity at the top. Researchers, grant leads and lab managers cannot access the list unless they also have the platform administrator role.
- Review the reader count, names, usernames and first/last viewed times. Use Previous and Next for pages of 20 readers.
- Current revision viewed means the user opened the current version. Earlier revision viewed means the announcement has changed since their last visit. Reopening it updates this status.
- Only successfully opening a published announcement detail page is recorded. Lists, notifications, drafts, attachment-only downloads and the reader list do not mark the announcement as viewed. Repeat visits update the last-viewed time without increasing the reader count.
- Tracking begins when this feature is introduced; prior visits are not inferred. A visit is not an explicit acknowledgment or approval. Permanently deleting an account also removes its read receipts.
2. Request an AI draft with /notice
- Open AI consultation as a platform administrator with AI permission.
- Start the question with /notice and specify purpose, audience, dates and required content. For example: /notice Draft next week's seminar announcement; mark the undecided room as TBD.
- Bring the generated title and body into the announcement editor and review facts, dates, audience and citations.
- Edit, preview and save to publish. Generating a draft is separate from final publication. The AI does not finalize undecided venues, schedules or decisions.
Share, export and bookmark announcements
- Open an announcement and use the share, export and star icons above its title.
- Choose link copy, title-and-link copy, channel sharing or another app. Sharing a link does not grant access.
- Choose print view, PDF, Markdown or text. Administrator edit/readership links are excluded; download attachments separately.
- Click the star to add a private favorite and click again to remove it. Withdrawn announcements and revoked access also hide their content and title in favorites.
Receive new announcement alerts
- Publishing an announcement alerts active users who can read it. Platform alerts are immediate by default, even without an @mention.
- In Notification preferences → Notification categories → Announcements, requests and operations, expand the group and choose platform and email delivery. Email and device push follow channel permissions and administrator policy.
- Select Digest and an interval for grouped delivery. Existing opt-outs and digest choices remain in effect.
- Drafts do not notify. Editing or republishing the same announcement does not send duplicate alerts. Withdrawn announcements and revoked access do not expose the body through notifications.
Generate, review and apply AI translations
- Expand AI translation draft and choose the lab AI settings. Choose Generate English from Korean or Generate Korean from English. Current inputs are saved as drafts first.
- A platform administrator and enabled lab AI settings are required. A dedicated queue avoids waiting behind document analysis and reports; short titles and bodies are translated together. Longer content is split and completed segments are shown. The requester’s personal daily allowance applies, including failed execution attempts. Shared lab analysis attempts are not used.
- When ready, the translated title and body appear in the target editor without refreshing, and side-by-side comparison opens. Table structure, images, attachment links, numbers, times, URLs, mentions and document references are checked for preservation. Review meaning, names and obligations, then save the draft. Nothing is published automatically.
- If you edit the target language while waiting, your input is preserved and the candidate appears separately. Compare it before choosing Replace the target draft with this translation. Generate again if the source changed. Mark the draft reviewed and publish to make it visible. Results with changed permissions or settings cannot be applied.
- Failed or limited requests preserve the original. Write manually or check settings and allowance before retrying. File contents and text inside images are not translated.
Link existing editions and understand language records
- Organize legacy notices → Link existing Korean and English announcements appears only when separate published editions remain. Select the two versions of the same notice. Similar posting times are suggestions only; compare the titles and bodies yourself. Linking is never automatic.
- Preview link → confirm both texts are the same announcement → Link the confirmed announcements. The Korean URL becomes canonical; the old English URL redirects to it. Originals, attachments and reading history remain, with no new alert.
- Unread counts include notices published in the current language. Opening either edition marks the shared announcement read. Administrator read activity separately records the actual language and published revision. A page visit is not consent or approval.
- Email/push notify once per announcement when an edition exists in the preference saved by the header language selector. Existing accounts initially use Korean. In-app content follows the current interface language. Added translations, edits and republication do not duplicate a previous alert.
Trash, restore and permanently delete notices
- Platform administrators choose Move to trash from a notice list, detail or editor. Review the Korean and English editions and their linked addresses before confirming.
- Trash retains content, attachments and read receipts while hiding the notice from readers and shared links. Restore returns its previous published or draft state without new notifications or translation.
- Permanent deletion is available only from Trash. After confirmation it removes both editions, app images, attachment links and read receipts and cannot be undone. Original Google Drive files remain.
- If another administrator changes the notice, review it again. Restore a trashed notice before editing it.
